Concourse Data Deletion

Data Deletion

Last updated 9 October 2026

This page explains how to delete information Concourse holds, including anything obtained through Instagram or Facebook. It sits alongside our Privacy Policy, which describes what we hold and why.

The short version. Email kevin@solutionsfor3am.com with the word Deletion in the subject line and tell us what you want removed. We acknowledge within 5 business days and complete deletion within 30 days. You can also cut off any Instagram or Facebook connection yourself, immediately, without contacting us at all.

1. Deleting Instagram and Facebook data

Step one: revoke access, which you control

You do not need our permission or our help to stop Concourse receiving anything further from your account.

The moment you do this, our access ends and the stored access tokens are deleted automatically. No further data is retrieved.

Step two: request deletion of what was already collected

Revoking access stops new data arriving. It does not by itself erase figures already stored, because those form part of your club's own marketing record and clubs usually want to keep them. To have them removed as well, email us as described in section 5.

What gets deleted on request: follower counts and history, audience demographics, post reach and impressions, saves, shares, profile and link taps, and the stored copies of your own posts and their performance.

What we do not hold in the first place

We never collect information about the individual people who follow, like, or comment on a post. We store counts, never identities. If you are a member of the public who interacted with a club's Instagram or Facebook account, Concourse holds nothing about you personally and there is nothing to delete.

2. Public league information

Concourse builds league benchmarks from information clubs publish openly: announced attendance, and public social media activity such as follower counts and the likes and comments on public posts. This is collected without any connection to us and is the same information any member of the public can see.

Because it is published by the club itself rather than obtained through a connection, revoking an app connection does not remove it. A club that wants its publicly published information excluded from Concourse benchmarks can write to us and we will exclude it. See section 5.

3. Club staff accounts

If you sign in to Concourse as club staff, your account record is an email address, an encrypted password credential, a club assignment, and a role. To have it deleted, email us, or ask your General Manager, who can remove staff accounts directly in the platform.

Deleting a staff account removes the sign-in credential. Work recorded in the platform, such as work orders raised or sponsorship notes entered, belongs to the club rather than to the individual and remains in the club's records.

4. Ticket buyers and business contacts

If you bought a ticket or appear as a business contact, your records reached Concourse from a club's own ticketing system. The club controls them and we act on its instruction.

Send your request to the club directly. If you send it to us instead, we will pass it to the club and support whatever it decides, but the club is the one with authority over those records.

5. How to make a request

Email kevin@solutionsfor3am.com with Deletion in the subject line. Please include:

  1. Your name and the club you are associated with
  2. What you want deleted, as specifically as you can put it
  3. An email address or account name we can match against our records

We may need to confirm you are authorized to make the request, particularly where it concerns a club's account rather than your own.

StageTiming
We acknowledge your requestWithin 5 business days
Deletion completed and confirmed to youWithin 30 days
Removal from encrypted backupsWithin 60 days

Backups are retained on a rolling cycle and expire on their own. We do not restore deleted data from them.

6. When a club agreement ends

On termination we return or delete the club's data at the club's direction and delete our copies within 60 days, unless law requires us to keep something longer. This covers everything: operations data, ticket buyer records, accounting figures retrieved from QuickBooks, and social media data.

7. What we may need to keep

In narrow cases we may retain a limited record after a deletion request, specifically where we are required to by law, or where it is needed to resolve a dispute or enforce an agreement. If that applies to your request we will tell you what is being kept and why, rather than quietly leaving it in place.
